YS2022 Marketing Requirements

Overview

Congratulations on your successful application to the Year of Stories 2022 Community Stories Fund.  

This fund is delivered in partnership between VisitScotland and Museums Galleries Scotland with support from National Lottery Heritage Fund thanks to National Lottery players. 

As a funding recipient, there are things you need to do to acknowledge your funding. These are outlined on this page.  

We are also providing the following support to help your organisation make the most of taking part in the Year of Stories:

What you will need to do

These are the things you MUST do as a funding recipient:  

  • Submit your YS2022 Event Listing Form, event photograph and Media Release Form as soon as possible. 
  • There is NO EMBARGO on when you can publicly promote your funded project – you are welcome to do this whenever suits your own marketing plans. Please also join in with VisitScotland’s press announcement on Friday 10 June by celebrating your grant support via social media.
  • Acknowledge your grant support in all print and digital promotion of your project by including the correct funding line and the YS2022 Community Stories Fund logo panel.
  • If you decide to carry out audience evaluation, you must include three specific Year of Stories questions in your survey. 


Submit your YS2022 Event Listing Form

We require you to submit an Event Listing Form(s) for your Year of Stories public-facing events as soon as possible so we can promote them on VisitScotland.com, a global consumer website which attracts over 22 million visitors per year. This is a FREE opportunity that will align your event with the Themed Year and allow you to benefit from a large-scale Year of Stories marketing campaign.

In order to create your event listing we require you to submit a completed YS2022 Event Listing Form, a promotional photograph or image, and a completed Media Release Form. The Media Release Form allows VisitScotland and partners to use your image to promote your event. 

Advice on how to complete the Event Listing Form:

  • This form is intended to promote public-facing events/activity only. If your funded project includes elements the public cannot book for or attend, e.g. school workshops, feel free to mention in the event description how these elements will inform the final public-facing events/outputs.
  • Please write your copy in the third person, rather than first person e.g. “Abriachan Community Forest is delighted to host two events…” and not “We are delighted to host two events…”.
  • Mention that your event is taking place as part of the Year of Stories 2022.
  • Please only use ONE form to cover all your public-facing events if you’re hosting the same type of event multiple times, e.g. four storytelling events. Please include all the dates, times and venues within the relevant fields.
  • Please use TWO OR MORE forms if you’re hosting multiple different types of events. For example, one form could cover four storytelling events and a separate form could cover two children’s workshops.
  • For your event to be listed, you must include confirmed times, dates and venues, plus a link to information about the event on your organisation’s website (or Facebook/Eventbrite). Please don’t submit the form until you have these in place.

When you are ready, please send your completed YS2022 Event Listing Form, photograph and Media Release Form to Carolyn Mills at carolynm@museumsgalleriesscotland.org

Please allow two weeks for your event to appear on VisitScotland’s site following your submission. You can make changes to event details and images once the listing is live – it will take approx. 48 hours for changes to appear online.

Announce your grant support

There is NO EMBARGO on when you can publicly promote your funded project – you are welcome to do this whenever suits your own marketing plans (please ignore the embargo information included within the guidance you were sent with your grant approval).

VisitScotland is planning to issue a press release announcing the projects supported through the second round of the Community Stories Fund on Friday 10 June. We will include basic details about your public-facing events in the announcement unless you tell us otherwise.  

We’d love it if you could join in with VisitScotland’s press announcement on Friday 10 June by celebrating your grant support and the Year of Stories programme via social media. You will be sent an email that week which will include suggested wording and an image to make this easy for you. In the meantime, here is some guidance:

Social media  

Please celebrate your grant support via social media on Friday 10 June.

Please use the Themed Year hashtag #YS2022 in all social media promotion of your funded activity.

Scotland’s Year of Stories 2022 is a celebration of stories inspired by, written, or created in Scotland. Stories are a vital part of Scotland’s culture and every community has a different tale to tell. In 2022, a whole host of events will be held across Scotland – by community groups, museums, culture and heritage organisations and visitor attractions – showcasing our rich storytelling and literary heritage.

Tip: if you want to tag an organisation on Facebook, include the ‘@’ symbol in front of their Facebook name. EventScotland and Museums Galleries Scotland don’t currently use Facebook so please use a hashtag for them instead. 

Acknowledge your grant support in promotional materials

The following three things MUST be included in all written copy about your funded activity, including in printed materials, press releases and digital listings/news items:

  • Please mention that your activity is taking place as part of the Year of Stories 2022 within the first three paragraphs.
  • The following line must be included at the end of your copy or press release to acknowledge your award. Please use this exact wording:

This event has been supported by the Year of Stories 2022 Community Stories Fund. This fund is being delivered in partnership between VisitScotland and Museums Galleries Scotland with support from National Lottery Heritage Fund thanks to National Lottery players. 

If you write a press release to announce your Year of Stories project, you're welcome to include this VisitScotland quote:

Marie Christie, Head of Development at VisitScotland said: "We are delighted to be supporting <INSERT EVENT NAME> through the Year of Stories 2022 Community Stories Fund. Events play an important role in our communities as they sustain livelihoods and help to celebrate and promote our unique places, spaces and stories. Themed Years are all about collaboration and Museums Galleries Scotland, National Lottery Heritage Fund and VisitScotland are pleased to work in partnership to create this fund to showcase community stories. By supporting events taking place within our communities, including <INSERT NAME OF EVENT>, new opportunities with be provided for locals and visitors to come together and find out more about the diverse stories, past and present, that our communities have to share.” 

Feel free to write your own release, or you can use our Press Release Template as a helpful guide.

Please send all promotional materials and press releases for approval to Carolyn Mills at carolynm@museumsgalleriesscotland.org.uk. Please allow 7 days for approval. 

Audience evaluation

If you choose to carry out audience evaluation, you must include three specific Year of Stories questions in your survey and will be asked to provide a copy of the evaluation with your end of project report.

These are the three specific Year of Stories questions to include in your survey: 

  • Are you aware 2022 is a Themed Year celebrating Scotland’s Year of Stories?  
  • Were you aware this event is part of Scotland’s Year of Stories 2022 (#YS2022 #TalesOfScotland)?  
  • After attending this event are you:  
    • …more aware of the wealth and diversity of stories written, inspired by and created in Scotland? Y/N  
    • …more likely to visit locations or places connected with Scotland’s stories? Y/N  
    • …inspired to share your own story or stories of Scotland? Y/N
